Driver pay: why allowances, overtime and absences need separate records

A monthly bank transfer does not explain every component of a mobile worker’s pay. Disputes become harder when salary, travel-related allowances and compensatory time are recorded under unclear labels.

Match each amount to its purpose

Start with the employment contract and applicable mobility terms. Reconcile payslips, payroll ledgers and bank transfers, including advances that are later deducted from the final monthly balance. A travel-related allowance should be documented according to its own conditions and payment trail; its label cannot automatically substitute for wages due for hours worked.

Treat each time category separately

Ordinary working hours, overtime, night work, public holidays, paid compensatory time, availability and rest are not interchangeable. A claimed shortfall should be examined for a concrete month and specific hours, accounting for amounts already paid and time off actually granted. Likewise, a recorded period of unjustified absence and suspension of the employment contract requires its own documents; the contract’s continued formal existence does not by itself establish salary for work not performed.

Create an auditable file

For each driver and pay period, retain the schedule, activity data, timesheets, payslip, proof of payment, allowance basis and any suspension decision. The strongest analysis does not rest on a single spreadsheet total: it shows how the time record becomes a particular payroll entry and, ultimately, a payment. Gaps in one record should be identified rather than filled with an assumption favourable to either side.

Legal context: Romanian Labour Code provisions on pay, suspension, working time and proof, together with Government Decision 38/2008. This article does not state a finding in the underlying dispute.
